From new firm to first invoice

Eight steps, most firms finish the first five on day one. Inside the app, a guided checklist on your dashboard tracks these same steps and deep links you to each one.

  1. 1. Set your billing rates

    In Settings, Billing rates, enter your standard hourly rate per role (partner, manager, senior, staff). Add per-person rates where someone bills differently; a person rate beats a role rate, and a per-engagement override beats both. Every time entry snapshots the resolved rate, so later rate changes never restate past WIP. These rates also print in the fee schedule of your engagement letters.

  2. 2. Invite your team

    In Settings, Team, add each person with their email and role. They receive an emailed invite with a temporary password, sign in, and change it. Roles drive everything: what someone can see, create, edit, and approve. Disable access instantly when someone leaves; their history stays.

  3. 3. Add your clients

    In Clients, add each client with entity type, contacts, and the tax identity your firm keeps on file: FEIN, state of formation, filing states, accounting method, and fiscal year end. The client record is where everything meets: engagements, invoices, balances, and history.

  4. 4. Create engagements

    From the board or straight from a client's page, create each engagement: type (1040, 1120, review, bookkeeping, advisory, and so on), period or tax year, due date, and the team with their roles. Mark annual work as recurring so completing it rolls next year's engagement forward automatically.

  5. 5. Send engagement letters

    From an engagement, send the engagement letter and mutual NDA for e-signature. Preview the exact PDF first; fees pull from your rate schedule or the engagement's fixed fee. Your client signs via a secure link on any device, and the signed record carries date, time, IP, and device.

  6. 6. Track time

    Everyone codes time to engagements on the Time page, by timer or by typed entry. Billable time accrues as WIP by client, visible on the WIP page and the dashboard at any moment.

  7. 7. Invoice and get paid

    The Invoices page shows every client that is ready to invoice. Generate from their unbilled WIP or the fixed fee, review, approve, and send. Record payments and watch AR aging update live.

  8. 8. Connect QuickBooks Online

    In Settings, connect your QuickBooks Online company. Map clients to customers and push approved invoices without double entry; payment status flows back so AR matches your books.
